We built TC Club, which runs a cannabis club in Tzaneen and Polokwane. It has been in production since 2025.

What goes wrong, and what we do about it.

  • Membership lives in a group chat

    Applications get missed, referrals go unchecked, and nothing is searchable six months later when it matters.

    A public application form that validates the referral before a person sees it, feeding an approval queue the committee works through.

  • Stock is a paper book

    The count at month end never matches the count at month start, and nothing explains the gap.

    Stock modelled per category, moved by the order workflow itself, with low-stock alerts before a shelf empties.

  • POPIA applies, and a chat cannot answer it

    When somebody asks who saw a member record, there is no answer except a recollection.

    Role-based access with an audit trail on every read and write against member data.

Have you actually built this before?

Yes. TC Club is a cannabis club in Limpopo running on three apps we built plus a notification service. It handles membership, stock across six categories, orders, payments and delivery. You can read the case study on this site.

How do you handle member privacy?

Access is role-based, so a support assistant sees only what their job needs, and every read or write against member data is written to an audit trail. That is what lets a club answer a POPIA question with a record instead of a guess.

Can members order from their phones?

Yes. TC Club has a member app for browsing and ordering, and the committee works from a separate dashboard. Keeping those apart is deliberate: a public surface and an admin surface should not share a front door.
